Rent and Billing | Students
Columbia Residential is committed to helping students feel confident in understanding their housing charges. This section provides guidance on bill schedules, housing charges and credits, how to pay and obtaining a housing verification form.
Billing Schedule and Payment Details
- All students in Columbia Residential housing are billed via Student Financial Services (SFS).
- Housing is billed on a monthly basis.
- Monthly charges are typically posted mid-month for the following month’s rent.
- Payment is due on the first day of each month, in accordance with the terms of the housing agreement.
- The first month’s rent is pro-rated based on the move-in date. The $750 reservation fee is credited to the account after move-in, which reduces the first month’s rent.
- The final month’s rent is charged in full for the month stated in the housing agreement or affiliation end, even if the resident moves out before the end of that month.
Residents may incur certain charges or receive credits during their time in Columbia Residential housing. The information below provides an overview of how charges are determined and what to expect throughout residency.
Rental Rates
Rental rates are set individually for each unit, based on factors specific to the apartment. As a result, rental rates may vary even within the same building. The rental amount established and listed on the housing agreement is final and will not be adjusted.
Rental rates will not be reduced due to building maintenance or repairs. If building staff determine that a safety issue exists or that repairs are excessively disruptive, temporary accommodations may be provided. In cases requiring extensive repairs, Columbia Residential may reassign residents to another unit.
Charges and Credits
Columbia Residential housing charges are billed through Student Financial Services (SFS) and can be viewed through the Student Services Online (SSOL) portal using the "View E-Bill" link.
Please review the content below for an understanding of charges or credits that may be applied during your time in housing.
After Move-In
Housing charges typically appear on SSOL within 1–2 weeks after move-in. If charges do not appear after this period, contact Columbia Residential to confirm billing charges.
When reviewing account activity, residents should note:
- Residents who move in late in the month may see charges for multiple months posted together (covering both the current and upcoming month).
- Pro-rated rent is calculated as: (Occupied Days ÷ Days in Month) × Monthly Rate.
During Residency
Monthly rent charges are posted to each resident’s SSOL account in advance of the 1st of the month, when payment is due. If a payment has already been made but charges still appear, residents are encouraged to review the billing statement to confirm the listed due date.
In addition to rent, other housing charges or credits may appear on the account:
- Gas Abatements: If a building-wide gas outage lasts more than one week, a credit may be applied. This appears separately from monthly rent and is typically reflected in SSOL the following month.
- Additional Charges may be assessed for:
- Replacement or repair of furnishings, appliances, or fixtures beyond normal wear and tear
- Key replacement and lockouts occurring outside business hours
- cleaning and maintenance requiring corrective action
- Late fees for past-due payments
After Move-Out
Vacancy-related credits and charges are generally updated in SSOL within 1–2 weeks after move-out. If updates are not visible after this period, residents should contact Columbia Residential for billing confirmation.
Charges that may be applied after move-out include:
- Cancellation Fees: A $1,000 charge may appear due to the Cancellation of Housing policy. Students who cancel housing before the end of their agreement are subject to this fee. For details, refer to the housing cancellation policy.
- Students with extenuating circumstances that could not be planned for may be eligible for a Cancellation Fee Waiver.
- Overstay Charges: Residents who fail to vacate by their required move-out date or overstay their housing agreement will be subject to a $1,000 overstay fee in addition to rent for the overstay period.
- Damage or Cleaning Fees: Residents who have damage beyond normal wear and tear, or units that are not cleaned properly upon move-out may incur additional fees. Residents will receive a summary of these charges after the final vacancy is complete.
- Administrative Fees for Extended Stays: May graduates approved for short-term housing extensions or Bar-Housing extensions will be billed a 20% administrative fee for each month of the extension, in addition to the unit rent.
Students who accept a housing offer are billed through Student Financial Services (SFS). Managing housing charges through SFS allows students to view and pay all University financial obligations in one convenient online account. Several payment options are available, including online check, wire transfer, and in-person payments.
To set up a payment account and submit the first payment, students should visit the SFS website.
Important Payment Policies
- Semester Housing Payments: In accordance with the Stability and Tenant Protection Act of 2019, housing payments may not exceed one month in advance. Lump-sum payments covering multiple months are not permitted and will be automatically refunded to the original payment source.
- Payment Plan Adjustments: Students enrolled in a payment plan do not need to make additional payments when new housing charges are posted. These charges are automatically incorporated into the plan balance once processed.
- Payment Designation: Housing and academic charges are combined on the same bill. Payments are applied on a rolling basis, starting with the oldest outstanding balance. Because of this, it is not possible to designate a payment specifically toward housing or academic charges.
Students can view housing charges through Student Services Online (SSOL), which Columbia Residential understands can be confusing to navigate. The guidance below is provided to help residents better understand how housing charges are displayed.
Billing Activity
Housing charges and billing activity can be accessed through the "View E-Bill" link on the Student Services Online (SSOL) Portal.
- The “Current Activity” page displays recent charges and credits applied to the account, including housing charges for the upcoming month.
- The “Statement History” tab provides a complete billing history, including previously generated statements with a detailed breakdown of past charges and credits.
Understanding Amount Due and Payment Deadlines
- Newly posted housing charges may not immediately appear in the Amount Due section until the next billing statement is generated. To view the most up-to-date information, residents should check the Current Balance on the Current Activity page, which reflects all recent charges and credits.
- Housing payments are due on the 1st of each month, as outlined in the housing agreement (for example, October rent is due on October 1).
Residents who need proof of their housing can easily download a Verification Letter through the Housing Portal. This official document includes the resident’s name, address, agreement start and end dates, and monthly rent amount.

- Log in to the Housing Portal
- Go to Tenant Profile
- Select Verification Letter to download the PDF
Since Columbia Residential does not process housing payments directly, residents who need proof of payment may print an account statement from SSOL or contact Student Financial Services with questions about proof of payment.
